[UPDATE] v1.8.0 — Cleaner Client Records, Booking Policies & a Redesigned Booking Page

This update cleans up duplicate client records, lets you set booking policies that clients agree to when they book, and introduces a redesigned online booking page — plus new SOAP notes for med spas and more control over staff and payments.

Client Management

You can now merge duplicate client profiles. Pagoda detects likely duplicates and walks you through combining them step by step, so a client's full history stays in one place. Online bookings now match returning clients by name and phone, so the same person booking again won't create a new duplicate record. The appointment preview on your calendar also shows forms and notes and lets you advance an appointment's status right from the popover, and pending appointment requests are flagged with an action-required icon.

Redesigned Online Booking

Your clients will see a refreshed booking page with a cleaner layout, a rebuilt date and time picker, and a simpler step-by-step flow — confirm details, then review and book. Returning clients who already have their information on file skip straight ahead.

Booking Policies & Digital Forms

You can now create booking policies — cancellation terms, late policies, and more — that clients see and agree to when they book online. For med spas, there's a new SOAP Notes tab on client records, kept separate from intake forms and waivers, with support for multiple SOAP notes per appointment. Intake forms are also smarter about when they apply for each visit and when they expire.

Scheduling

Drag to reschedule appointments and time blocks directly on the calendar. A new status filter in the calendar sidebar lets you focus on the appointments you care about, and you can move a no-show back to Confirmed in one click. We also fixed several time-off issues, including recurring time-off being removed incorrectly and blocks occasionally spilling into the wrong day.

Payments & Checkout

You can now record payments made outside Pagoda — such as cash or an external terminal — as off-platform payment methods, and your transaction log breaks down totals by payment method.

Staff Roles & Permissions

You can now mark staff as admin-only — team members who use Pagoda but don't take bookings — and they'll show a "No calendar" badge so it's clear at a glance. Staff can also opt in to email notifications from their employee profile.

Other Improvements

New clients now have appointment reminders turned on by default. Rebooking links handle a wider range of formats reliably, message previews now match exactly what gets sent, and settings tabs scroll independently for easier navigation.
